NATIONAL EVENTS & EXPERIENCE MANAGER 
Full Time | New York, NY.

AAPF is enthusiastically seeking a dynamic and experienced National Events & Experience Manager to join our team! This position is a full-time role located in New York.

Founded in 1996, The African American Policy Forum (AAPF) is an innovative think tank that connects academics, activists, and policy-makers to promote efforts to dismantle structural inequality. We utilize new ideas and innovative perspectives to transform public discourse and policy. We promote frameworks and strategies that address a vision of racial justice that embraces the intersections of race, gender, class, and the array of barriers that disempower those who are marginalized in society. AAPF is dedicated to advancing and expanding racial justice, gender equality, and the indivisibility of all human rights, both in the U.S. and internationally.

Events & Experience Manager

The Events & Experience Manager will plan, coordinate, and execute a diverse range of events that advance our mission and deepen engagement with our community of supporters, funders, and partners. As an adept project manager with a passion for social justice, they will bring a detail-oriented approach and a proven track record of success in event management and execution. They will co-design events and branding strategies that align with AAPF’s programmatic goals, ensuring maximum impact and visibility. 

This role oversees all event logistics, contract review and negotiations,  including venue selection, communications (both internal and external), and vendor management. You will work cross-functionally with AAPF teams to effectively allocate and manage resources, ensuring the seamless execution of each event.

The position is based in New York City and requires frequent travel to conferences and events.
 

Duties and Responsibilities include, but are not limited to:

Event Design, Planning, and Execution

  • Develop, plan, and execute a comprehensive annual events calendar, including conferences, workshops, fundraisers, community outreach programs, and virtual events;

  • Coordinate all event logistics, including venue selection, vendor management, catering, audiovisual requirements, and transportation; and

  • Ensure events are executed within budget and meet organizational goals.

 

Procurement

  • Identify, negotiate, and manage contracts with vendors, suppliers, and service providers for events and experiences; 

  • Lead contract negotiations, ensuring favorable terms that align with budgetary and organizational goals; and

  • Ensure all procurement activities are in compliance with AAPF’s policies and ethical standards.

Audience Engagement and Experience  

  • Design and implement strategies to enhance attendee experience and engagement before, during, and after events; 

  • Consult and provide input to the communications team to create compelling event marketing materials, including invitations, programs, and social media content; and

  • Develop and maintain relationships with key stakeholders, sponsors, and partners to enhance event success and community impact.

Team Collaboration and Leadership

  • Collaborate with internal departments, including development, communications, and programs, to align event goals with organizational objectives; and

  • Provide regular updates and reports to senior management on event outcomes and performance metrics.

Evaluation and Improvement

  • Conduct post-event evaluations to gather feedback and identify areas for improvement; 

  • Stay current with industry trends and best practices to continually enhance the quality and impact of our events; and 

  • Implement innovative ideas and solutions to improve efficiency and attendee satisfaction.

Qualifications:

Required

  • Minimum of 5 years of experience in event planning and management, preferably within the non-profit sector. 

  • Strong project management skills with the ability to manage multiple events simultaneously.

  • Excellent interpersonal and communication skills, with the ability to engage and inspire diverse audiences.

  • Demonstrated commitment to social justice and equity.

  • Proficiency in event management software and tools.

  • Ability to work flexible hours, including evenings and weekends as needed.

 

Preferred

  • Bachelor’s degree in Event Management, Communications, Non-Profit Management, or a related field preferred. 
     

The salary range for this position is $75,000-$85,000  plus a benefits package that includes medical, vision and dental coverage, 401(k) option, technology stipend, professional development stipend, PTO and a number of paid holidays.
